Policies and General Information

The Windsor-Walkerville Fringe will run from July 20 - July 30, 2017.  We are a small-sized Fringe, in a friendly community, and have amazing billets if you are from out of town.


Please read this information carefully. It is your agreement with the Windsor-Walkerville Fringe Festival and we will abide by the terms outlined.

 

PARTICIPATION:

Applications in the Local, Provincial, National, and International categories are accepted by open application to the Windsor-Walkerville Fringe Festival.  You must also choose the genre of performance that you are applying for (theatre, music, dance, comedy, children). Upon application, there is a $25 non-refundable application fee.  Applications must be received by January 31, 2017 at 4:00pm EST to be eligible for the Fringe Festival.  Once you confirm your participation, we will invoice you and process your payment in full based on the timeslot that you have requested.  If you fail to confirm your allocation within the 72 hours provided, your allocation will be offered to the next candidate.

 

We have category quotas for applications: 60% of quote is from Locals (Windsor-Walkerville and area within a 50km radius); 20% of quota from Ontario locations; 20% of quota from National and International locations. 


Please plan to participate in the full ten days of the Windsor-Walkerville Fringe Festival. Performance times are between 5:00pm and 10:00pm weekdays and between 10:00 am to 10:00pm Saturday and 10:00 am to 6:00 pm on Sunday. Each company is scheduled for 6 performance times between those hours. Note: the Windsor-Walkerville Fringe Festival will not guarantee that we can accommodate special requests regarding performance dates/times.

 

Applications are accepted until January 31, 2017 at 4:00pm EST by online or paper-based submissions ONLY and must include your non-refundable open application fee of $25.00.

 

The application form must be completed in full and the following fees apply if you are successful in the application:


EARLY BIRD (Until October 21, 2016):

  • 30 Minute Show, $340.00 + $25 non refundable application fee
  • 60 Minute Show, $480.00 + $25 non refundable application fee
  • 90 Minute Show, $620.00 + $25 non refundable application fee

EARLY BIRD (October 22 - November 21, 2016)
  • 30 Minute Show, $386.00 + $25 non refundable application fee
  • 60 Minute Show, $545.00 + $25 non refundable application fee
  • 90 Minute Show, $705.00 + $25 non refundable application fee

REGULAR (November 22, 2016 - January 31, 2017)

  • 30 Minute Show, $425.00 + $25 non refundable application fee
  • 60 Minute Show, $600.00 + $25 non refundable application fee
  • 90 Minute Show, $775.00 + $25 non refundable application fee
 

LOCAL ARTIST SPECIAL! (Until March 31, 2017)

  • 30 Minute Show $386.00 + $25 non refundable application fee
  • 60 Minute Show $545.00 + 25 non refundable application fee
  • 90 Minute Show $705.00 + $25 non refundable application fee


APPLICATIONS AND PRIMARY CONTACT:

  • Fringe correspondence will only be sent to the primary contact.
  • Please make sure that you provide valid contact details for the primary contact.
  • Only the primary contact is authorized to submit or make changes to artist/company information.  

 

As primary contact, it is your responsibility to:

  • Share information with the rest of your company.
  • Stay up to date on all Festival information.
  • To have up-to-date insurance coverage for your performance.
  • Ensure timely submission/acceptance of all requested materials. 
  • Acquire all applicable permits and rights for your performance and
  • Ensure the payment of all applicable taxes and fees relating to your production in the Windsor-Walkerville Fringe Festival.

While other performers and crew may choose to be involved in more than one production, they are responsible for ensuring that no scheduling conflicts prevent or interfere with any of your performances. The Windsor-Walkerville Fringe Festival will not adjust any scheduling to accommodate performers appearing in more than one production. Double casting is strongly discouraged.


COPY AND PRODUCTION RIGHTS:

The Windsor-Walkerville Fringe Festival will not knowingly produce a show without the permission of its originator(s). You are obliged to obtain written permission from the playwright/author/originator and pay any fees required for the production rights. As well, you are expected to obtain the necessary releases or pay appropriate fees to any professional associations to which you belong. Failure to do so could result in disqualification without refund or written notice.  Cancellation of your show due to lack of permission(s) or rights to your show will result in forfeiture of your entire application fee.


INTERNATIONAL APPLICANTS:

The Windsor-Walkerville Fringe Festival considers International applicants as those whose members reside outside of Canada. These applications must include an international mailing address and confirm residency from outside of Canada. Please contact us if you have any questions regarding your eligibility in this category.

 

It is your responsibility to ensure that you acquire the necessary visa(s), work permit(s) and/or waiver(s). If you do not apply for or receive a waiver, the Windsor-Walkerville Fringe Festival is required by law to withhold 25% of ticket revenues and the company must then apply to Revenue Canada for a refund. Sorry.  If successful in the Windsor-Walkerville Fringe Festival lottery, the Windsor-Walkerville Fringe Festival producer will forward international participants the appropriate forms.


SHOW LENGTH AND SCHEDULE:

For those wishing to apply for the 90-minute performances, If you select this category, you must be prepared to present a performance that runs for a minimum of 75 minutes (not less) and a maximum of 90 minutes. You must also participate in the full 10 day run of the Windsor-Walkerville Fringe Festival.

 

If you are interested in the 90-minute category, please indicate this as your first preference on the Application form. Indicating a 90-minute time preference does not guarantee that you will be given that space.


The majority of spaces are 60-minutes. You cannot exceed 60 minutes but your show can be shorter. If you are not interested in the 90-minute time space, please indicate 60 minutes as your first choice on the application form.  Once submitted, you may not add to your running time.

 

Your show should be production-ready with simple technical and production requirements. There are no limits on artistic content. Each company will be scheduled for 6 performances and we require that the company abide by the schedule. Please plan to commit to the full run of the Windsor-Walkerville Fringe Festival from July 20 - July 30, 2017. You will also be allocated a tech rehearsal time-slot double to that of your allocated performance time between July 15 - July 19, 2017. All companies/artists will have a variety of performance times between 5:00pm – 10:00pm, Monday to Friday; and from 10:00am to 10:00pm on Saturday and 10:00 am to 6:00 pm on Sunday.


VENUES:

Our venues are unique in staging and seating capacity, ranging in size from 65 – 240 seats. You will be provided with site specifications and other details at a later date.

 

Each venue will have basic lighting and sound.  There will be an experienced technician for each venue and you will be allocated a rehearsal time. Should you fail to attend your allocated rehearsal time-slot, there will be no makeup time allocated.  If needed, you are expected to provide a Production or Stage Manager and the crew to set and strike. During the Windsor-Walkerville Fringe Festival, each company is given 15 minutes for set up, and 10 minutes for strike. The audience is seated during the five minutes prior to show time.

 

TICKETS AND REVENUE:

Participating companies/artists receive 100% of their set ticket price. The Windsor-Walkerville Fringe Festival will provide house management, ticketing and box office services. The maximum ticket price is $12.00. You may charge less, but not more than $12.00. The Windsor-Walkerville Fringe Festival has a $1.00 administration charge on all tickets sold at the door. If you set your ticket price at $12.00, the Windsor-Walkerville Fringe Festival will add $1.00 and your full ticket price to the public will be $13.00. You will receive $12.00. If you charge $10.00 for your tickets, the Windsor-Walkerville Fringe Festival will add $1.00 and your full ticket price to the public will be $11.00. You will receive $10.00.

 

The Windsor-Walkerville Fringe Festival will offer on-line, advance ticket sales. We will not hold any tickets back for at the door sales. This means that 100% of the tickets are available to be sold in advance.  Advance tickets are sold at the same price that the company/artist has set for the ticket with the same $1 administration charge.

 

The Windsor-Walkerville Fringe Festival pays out all ticket sales at the end of the Festival. Detailed information about Performer payout processes will be sent at a later date.

  • $25.00 non-refundable fee due upon receipt of application.

*If you are successful in the lottery, you will be contacted to confirm the spot and your Participation Fee will be due within 72 hours of confirmation.  


Your application fee must be submitted along with your completed application.  Any applications received without payment will not be included in the Windsor-Walkerville Fringe Festival  submissions.  Do not mail cash – applications are ONLY accepted online or in person.

ACCEPTANCE AND CONFIRMATION:

Applicants will receive confirmation by email within 24 hours of the submission deadline regarding their status.

 

Once the category quotas are filled, applicants will be placed on a waiting list.  You will receive notification of your status. Participation Fees for applicants placed on the waiting list will not be processed until there is an opening. Any company/artist on the waiting list may withdraw at anytime.


REFUND POLICY:

  • On or before January 31, 2017 participants who withdraw will lose their application fee
  • On or before April 1, participants who withdraw will lose 50% of their paid fee.
  • Between April 2 – June 1, 2017 participants will forfeit 75% of their entire fee.
  • As of June 2, 2017 up to the start of the Windsor-Walkerville Finge Festival, participants will forfeit 100% of their   

entire fee


IF YOU ARE SUCCESSFUL IN THE SUBMISSION:

  • You keep 100% of your established ticket price
  • The Fringe provides: house management, ticketing, and box office volunteers
  • The Fringe provides: your venue equipped with basic sound and lighting and one technician
  • You will be included in all Fringe publicity: our program, on our website, and overall event publicity. A detailed questionnaire will be sent to you in February 2017
  • Plan to have a wonderful time!


FINALLY:

Submission of your application and fee means that you have read and agree to all of the above. Please contact us if you have any questions or need clarification of these details. We recommend that you make a copy for your own records.

 

Applications are accepted through online and in-person submission ONLY and must be accompanied by your non-refundable application fee ($25.00).  Applications received without the application fee will NOT be included in the Windsor-Walkerville Fringe Festival submissions.

 

If you are successful in the Windsor-Walkerville Fringe Festival Lottery, you will be contacted by phone and your FULL fees must be paid within 72 hours to secure your spot.
